Data integration & modern M&A preparation — three pathways.

Modern M&A is defined by data connectivity. Buyers no longer trust static spreadsheets; they trust live, verified data. Manual exports are slow, error-prone, and obsolete the moment they are saved.

The first step in modern M&A preparation is connecting the agency's operational nervous system — its AMS — to the marketplace. The shift from manual to integrated data addresses three critical risks: accuracy (manual entry leads to transcription errors that QoE teams flag), speed (automated pulls turn a 3-week project into minutes), currency (integrated data reflects real-time book state).

§ 01 · Pathway A — Automated API pushHighest fidelity.

For agencies using Vertafore or HawkSoft, direct API integration provides the highest-fidelity connection. The seller authorizes a secure data push from their AMS to the Milly Books platform via API. Policy data (premium, carrier, expiration dates, LOB, client information) flows into the Book Valuation Engine without manual export. Refresh cadence: approximately 4-hour warehouse sync cycle with 5-minute Trantor fanout for data updates. New agency onboarding: 10-minute initial processing window. Best for agencies wanting hands-off, continuous data accuracy with minimal seller effort.

§ 02 · Pathway B — Concierge Data ServiceThe safety net.

For agencies using other AMS systems, agencies with data stored across multiple platforms, or sellers who lack the time or technical comfort to organize independently. The seller provides raw data exports (CSV or Excel). The Milly Books operations team cleans, standardizes, and categorizes the data — deduplication, field normalization, carrier code mapping, LOB classification. Best for agencies with legacy AMS systems, messy historical data, or limited technical staff.

§ 03 · Pathway C — Manual CSV uploadThe granular-control option.

For smaller books, specific Slices, or sellers who want to control exactly what data enters the platform. Secure drag-and-drop CSV upload via the platform miniapp. The seller maps their data fields to standard categories using guided dropdown selectors. Uploaded data bypasses the warehouse layer and flows directly to the transactional backend. Best for smaller books, initial testing, or Slice-specific uploads.

§ 04 · The My Book dashboardSeeing the agency as a buyer will.

Once data is connected, it populates the My Book diagnostic dashboard. Diagnostic capabilities: carrier concentration (instantly shows if over-reliant on a single carrier — a major valuation risk), retention analysis by LOB, geographic distribution, revenue composition by billing type / line / producer. The strategic use: sellers see their agency exactly as a buyer will — enabling proactive remediation of weaknesses (high loss ratio with one carrier, excessive client concentration, declining retention) before going to market.

§ 05 · Data security infrastructureThe seller-controlled confidentiality model.

Seller data security is the non-negotiable foundation. Encryption: all data is encrypted in transit (TLS) and at rest (AES-256). No data moves in cleartext at any point in the pipeline. Seller-controlled confidentiality: the seller's identity is protected through a username-based system. Raw data powers the Book Valuation Engine and matching algorithms, but the seller's identity remains hidden — buyers see aggregate metrics ("Commercial Agency in Ohio with $2M Revenue") but not identifying details. Controlled release: the seller decides who sees their data and when. No granular data (client lists, producer information, carrier details) is shared until the seller has vetted a buyer, approved access, and — per "No NDA, No Data" — an NDA is in place. Access revocation: if a deal stalls, the seller revokes data access with a single action.

Data integration quality directly correlates with listing conversion rate. Sellers who connect AMS data and see an accurate My Book dashboard are significantly more likely to proceed to listing than those who encounter data discrepancies that undermine confidence. The integration is the entry point to the seller journey — and Pathway A is the highest-value path because it minimizes friction and maximizes valuation accuracy.
